A lead engagement system delivered for a social media and content agency. Their leads already lived as tasks in Asana; this workflow turns each status change into the right next step, from onboarding a new client to nudging a quiet lead.

The challenge

Every lead needed a different next step depending on where it stood: a folder and content task for new clients, a follow-up for leads who had gone quiet or were sitting on a quote, a welcome for those who signed. Each of those relied on someone noticing the status change and acting on it.

The system

A single Zap watches the agency's Asana lead tasks. When a status changes, it routes the lead down one of five paths. Silent leads and open quotes get a follow-up, a wait, and a reply check, so a second nudge only goes to people who haven't answered. Approved and paid clients get a personalized welcome drafted with AI and sent from Gmail.
